This notice covers website visitors and business enquiries. Any additional information needed for a particular client engagement will be provided when that engagement is arranged.
Information we handle
When you use our enquiry or client request forms, or contact us directly, we may receive your name, business name, role, work email address, telephone number, client number and the information you choose to include about the support you need. If you contact us on someone else’s behalf, please only share information you are authorised to provide.
When you submit a form, we receive your contact details, your selected area or type of support, and the message and any relevant deadline you provide. We use this information to respond to your enquiry or manage your request for support. Required fields identify the information we need to deal with your request; other fields are optional.
When you visit, our hosting and security providers may process technical information such as your IP address, browser and device details, the pages requested, access times and error or security logs to deliver and protect the website.
Please do not send sensitive personal information, identity documents or detailed confidential matter information with an initial enquiry. We will agree an appropriate way to share any information needed for an engagement.
Why we use information
- Answering enquiries and arranging support: our legitimate interests in communicating with business contacts, understanding their requirements and running our business. Where you would personally be a party to a contract, we may instead need the information to take steps at your request before entering that contract or to perform it.
- Operating and protecting the website: our legitimate interests in maintaining a secure, reliable service and detecting misuse.
- Keeping necessary records and dealing with disputes: our legitimate interests in administering the business and establishing, exercising or defending legal claims, and compliance with applicable legal obligations where relevant.
You do not have to make an enquiry or provide information, but we may be unable to respond or arrange support without the necessary contact and business details. This website does not subscribe you to marketing, and it does not make automated decisions about you with legal or similarly significant effects.
Who may receive information
Information may be handled by the people supporting our business and by providers of website hosting, security, IT, email and document storage, to the extent needed for their work. We may also share relevant information with professional advisers, insurers, regulators or public authorities where necessary and lawful. We do not sell your personal information.
This website is hosted through OpenAI Sites. Enquiry and client request notifications are delivered using Resend, our email delivery provider. Hosting providers may use infrastructure and service providers outside the UK. Where we make a restricted international transfer, we will use a recognised UK adequacy regulation or appropriate contractual safeguards, as applicable. You can write to us for details of the safeguards relevant to your information and how to obtain a copy.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. For enquiries, we consider whether correspondence is ongoing, whether an engagement results and whether a record is needed to address a complaint or legal claim. For client records, applicable legal, accounting and professional requirements and relevant limitation periods also affect retention. Technical records are retained according to operational and security needs. Information is deleted or anonymised when no longer needed.
Your rights
Depending on the circumstances, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction of its use or transfer of information to you or another provider. These rights are subject to legal conditions and exemptions.
Your right to object: you can object to processing based on legitimate interests for reasons relating to your particular situation. You have an absolute right to object to use of your information for direct marketing.
If we rely on consent for a particular use, you may withdraw it at any time without affecting the lawfulness of earlier processing. To make a request, use the contact details above. We may need to verify your identity.
You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. We would welcome the opportunity to address your concerns first, but you do not have to contact us before approaching the ICO.
